Leads

How leads work

  • New leads are automatically added to the ‘New Leads’ Stage in the CRM.

Manually adding

  • Leads can be manually added by click on on the addbutton in the top bar. Fill out the information and save the profile to create the lead.

Assigning Leads

  • Leads can be assigned to a single person by clicking the ‘assign button and selecting a staff member. Staff may re-assign as many times as required.

Making notes and @-ing people.

  • The message area is for internal notes and internal communications; note that no notes here will be sent to the customer. You can use the @ symbol and start typing to then address other staff.
  • MentionsAny time you are mentioned, it will populate the ‘mentions’ list for easy access. This area will show a bubble also to indicate you have been mentioned.

Lead stages

  • Stages are to help organize your leads depending on where they are at in the process. You can drag a lead from any stage inbox list to any other stage to re-assign the stage
  • Sending emails. You can email leads by clicking on the envelope icon. This will open the email modal, where you may select a pre-composed template
  • Once you’ve selected a template, fill in the blanks and hit send. This will send an email directly to the leads inbox of the registered email address in the lead profile.

Replying to emails

  • Leads can reply to this, which will be pulled into their profile within the same message area. Any stage and message will be bold when there is new content to check (new leads or replies).
  • Notifications will also be sent to slack for new leads.

Tours

  • Tours can be automatically added when the lead requests the tour from the website and adds a date and time.
  • You can manually book a tour by clicking the ‘tour’ icon on a lead's profile, adding a date and time, and then saving.

Staff can achieve this by:

  1. Click on the tour icon and add a date/time for the tour
  2. Once you save tour details, leads will be automatically added to the tour stage, and a note made on the leads message area of their profile.

Sending tour confirmations
Note: You should still send a tour confirmation if the tour is automatically booked or manually added.

  • Copying the tour date and time from the message are
  • Click the envelope icon and select the ‘tour confirmation template
  • Add the time and date to the email message and send

Leads will receive this as an email message in their inbox.

Example:

Leads who will be touring the space also show on the dashboard agenda the respective day and time for which the tour is booked.

Trials

Trials can be manually booked for a date range using the ‘trial’ icon.

Staff can achieve this by:

  1. Click the trial icon, select a trial start and end date (ensure the location is correct), and save.
  2. Copy the trial date and time from the message
  3. Click the envelope icon and select the ‘Trial confirmation template.’
  4. Add the time and date to the email, customize the message and send

Leads will receive this as an email message in their inbox.

Leads who will be touring the space also show on the dashboard agenda the respective day and time for which the trial days are booked.

Reminders

Reminders can be set for any lead by clicking the reminder icon. 

  1. Click the icon and set a date for the reminder
  2. Add a note for the reminder

Reminders will then notify you in the leads area with a bubble and number on the day/time the reminder is set for.

Email Templates

Email templates can be set up in the Settings>templates area. Variables can be used to populate key information about the lead or the location and sender into the message.

Editing lead profiles

Initially, when vetting a lead, it is a good idea to Clarify the lead and all information. When selecting a lead from the lead inbox, click on the Leads in the top right area of the messaging section. This will open up their lead profile, where you can complete all key information as you are aware.
